Primary Job Duties

The Executive and Legal Assistant works collaboratively and demonstrates a high level of professionalism and confidentiality at all times. They effectively support and interact with company executives, all levels of the organization, and external clients.


  • Represent and provide direct support to high level company executives

  • Executive office communication tasks (calls, emails, and other correspondence)

  • Daily coordination of individual and group meetings, including lunch, calendaring, and transportation as needed

  • Gather and organize internal records in response to discovery requests

  • Organize legal case files including exhibits, documents, evidence, briefs, and appendices

  • Ensure executive office is properly stocked and represented

  • Complete travel, hotel, and ground transportation arrangements for company executives as assigned

  • Will act as travel coordinator (training provided as necessary) for all air travel

  • Additional projects as assigned

Minimum Requirements

  • Exceptionally organized and efficient

  • Proven ability to prioritize and manage multiple assignments from several executives with varying deadlines

  • Reliable and self-motivated

  • Strong verbal and written communication skills with emphasis on quality, detail, accuracy, and confidentiality

  • Willing to learn and proactively seek solutions for improvement

  • Demonstrated proficiency in Microsoft Office Suite

  • Professional and personable in all interactions with various facets of people

  • Ability to work under pressure and thrive in a fast-paced environment

  • Must have at least 2 years of Executive Administrative Assistant, Legal Secretary or related administrative assistant experience

Preferred Skills:

  • Experience in the transportation and/or airline industry

  • Experience in law office

  • Associate's Degree or greater a plus
